If you have any questions about this policy or how we use your information, please get in touch through our contact form, by phone or by post.

The information we collect

When you send us an enquiry

Our website enquiry forms ask for:

  • your name, email address and phone number
  • the address and postcode of the property
  • rough measurements of the job, such as length, width or height
  • up to three photos of the area you want work on
  • anything else you choose to tell us in your message

The photos you send will usually show your garden or property. Please avoid sending photos that show people, and especially children.

When you contact us in other ways

If you call us or speak to us in person, we may note your name, contact details, address and what you need, so we can give you a quote and arrange a visit.

When you become a customer

We keep the details needed to carry out and guarantee the work: what was agreed, quotes, invoices, payment records, notes and photos from the job.

When you use this website

Like most websites, ours collects some information automatically, such as your IP address, the type of device and browser you use, the pages you visit and how you arrived at the site. Some of this is collected using cookies. See Cookies below.

How we use your information

The law says we need a lawful reason (a “lawful basis”) for each way we use your information. Ours are:

Replying to your enquiry, preparing a quote and arranging a site visit Taking steps at your request before entering into a contract
Carrying out the work, keeping you updated and invoicing you Performing our contract with you
Dealing with any later questions, problems or claims under our 5 Year Work Guarantee Our legitimate interest in standing behind our work

We do not sell your information, and we do not use it to send you marketing.

Who we share it with

We only share your information where we need to, with:

  • Our website platform, which hosts this website and passes your enquiry form to us. The site is built on Snapps, which runs on the Duda platform.
  • Our email providers. Website enquiries reach us by email, and we use Google (Gmail) and Microsoft (Outlook) email accounts.
  • Google, which provides website analytics (Google Analytics), advertising measurement (Google Ads) and the reCAPTCHA spam check on our forms.
  • YouTube, when you play one of the videos on our website.
  • Professional advisers, such as an accountant, and HMRC where the law requires it.
  • Suppliers, only where needed for your job, for example a delivery address for materials.

We may also share information if the law requires it, or to protect our rights in a dispute.

Information stored outside the UK

Some of these companies store or process information outside the UK, including in the United States. Where they do, they use safeguards recognised under UK data protection law, such as the UK Extension to the EU–US Data Privacy Framework or approved contract clauses.

How long we keep it

  • Enquiries that don't go ahead: up to 12 months from your last contact with us, in case you come back to us about the same job. After that we delete them.
  • Customer records: for as long as HMRC requires (currently at least five years after the 31 January Self Assessment deadline for the tax year the work falls in), and for at least the length of our 5 Year Work Guarantee.
  • Website and advertising data: for the periods set by Google and our website platform.

Keeping your information safe

Enquiries and customer records are kept in password-protected email accounts and devices, and only the people who need them to quote for or carry out your job can see them.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct anything that is wrong or incomplete
  • ask us to delete your information
  • ask us to limit how we use it
  • object to us using it where we rely on our legitimate interests
  • ask for information you gave us to be passed to you or another organisation in a commonly used format
  • withdraw your consent at any time, where we rely on it

To use any of these rights, contact us through our contact form, by phone or by post. There is no charge, and we will reply within one month. Some rights have limits; for example, we must keep tax records even if you ask us to delete them, and we will explain if that applies.
